People Advisor, Barcelona

Reporting to the People Business Partner in Barcelona, this position will collaborate to:

Provide front line support to employees and managers at the Barcelona office covering all aspects of the employee life cycle. This includes answer all their inquiries, production of all related paperwork advising the employee on their benefits and entitlements, liaising with payroll and updating relevant systems and internal departments in relation to dates of leave or absence.

Recruitment planning with hiring managers and on-boarding of new starters (permanent, temporary and internship positions)

Process all the Flexible Working requests from employees (Hot Desking and Desplazamiento). Ensure all approvals in place from the relevant stakeholders. Review and approve supporting documentation and inform Payroll and the local Payroll provider to process in Social Security Service accordingly. Answer any related queries and solve any problems in the process.

Assist in recruitment process and create job requisitions as and when needed. Follow up on the required approvals including Workday, and communicate updates to the hiring managers promptly. Save signed offer letters, additional clauses, passports, ID’, employment verification letters, new starters flexiform in employee files. Help new employees get the Spanish working permit (NIE) as required. Arrange the buddy program for all new starters.

Process overtime transactions on a monthly basis including but not limited to receiving overtime spreadsheets from managers with approvals and complete Payroll’s spreadsheet including overtime rates accordingly.

Request employment contracts to appointed external Payroll provider review they are correct. File signed contracts and onboarding documentation in employee files.

Timely tracking and management of probationary periods, onboarding and absence management such as maternity/paternity leaves, sick leaves, voluntary leaves and off-boarding in accordance with Spanish statutory requirements.

Provide advice and support to ensure our company goals and attributes are met.

Coach managers and employees through performance management and employee relations issues to ensure compliance of current Company and People policies while strengthening their skills and confidence to deal with disciplinary processes, grievances and flexible work requests among others.

Develop and implement talent development initiatives in association with the Talent & Development team, such as the annual employee engagement survey and ad hoc training activities for managers and employees.

Report and compile training needs, review training proposals and work with training providers. Schedule training sessions from time to time and make sure effective utilization of training budget from the available Employer Social Contributions discounts.

Administer and manage company benefits and compensation policies in collaboration with EMEA Benefits, global Compensation and EMEA Payroll team, such as process compensation changes, benefits updates, payroll requests, documentation for VISA applications, relocation agreements.

Provide support to organizational changes and business leaders with communication plans and managing redundancies.

Manage employee transfers in association with the Global Mobility team, from visa applications and right to work procedures to monitor the immigration status of employees with restricted eligibility to work.

Manage projects to comply with local legal requirements (e.g. Gender Equality, Disability Quota). Analyze providers in the market, build project proposal, and seek approval from People Senior Management, Legal and Finance.

Knowledge/Skills/Experience Required:

  • Previous experience in a similar position;

  • Bachelor of Arts/Bachelor of Science in Human Resources Management, Psychology, or relevant field;

  • Basic knowledge of labor laws;

  • Excellent communication skills both written and verbal;

  • Ability to work in a fast paced international environment;

  • Excellent organizational skills, ability to prioritize and a strong attention to detail;

  • Knowledge of Google Drive, MS Word and Excel;

  • Spanish and English spoken and written is mandatory;

  • Enthusiastic, positive attitude, team player;
