Dow Jones Office Manager in SOFIA, Bulgaria

Job Description:

As part of our team you will:

  • Become the main point of contact for all the administrative issues of the office

  • Communicate (emails, calls, chat) and forward documents between the external vendors (service providers) and the internal parties (Legal, HR, Finance, Payroll, Hiring, Tech etc.)

  • Work with colleagues from the Finance team to ensure all the office bills are timely covered

  • Implement activities related to the needs of the office: deliveries of various office consumables and infrequent maintenance

  • Address local employees’ requests by communicating with the HR and Payroll teams and the local services provider company

  • Cover different administrative tasks to ensure that the local staff is concentrated on its core work

  • Promote the great company culture and support the modernization and expansion processes

  • Plan and organize local meetings/events like team buildings, wellness days, bring-your-kids-to-work days, volunteering events, career events etc.

Requirements and necessary skills:

  • Education - university degree a must

  • Excellent written and spoken Bulgarian literary language

  • Excellent written and spoken English language

  • Computer literacy - having experience with:

  • working with the Windows operating system and related software, incl. file management skills

  • working with web browsers

  • email correspondence

  • working with office products (spreadsheets, documents, presentations)

  • as many of the Google suite of products: GMail, Calendar, Drive, Docs, Spreadsheets, Slides, Hangouts/Meet, etc.

  • Responsibility, care of the details

  • Willingness to communicate with different parties to achieve the tasks within the established deadlines, ability to proactively oversee each task to its completion

  • Ability to build and maintain effective relationships with the team members and the various service vendors

  • Positive mindset and a good sense of humor

  • Initiative, self-organized person with creative thinking, adaptive to changes in the established workflows
