Job Description:
The Dow Jones Company is looking for an experienced executive assistant to support our chief communications officer (CCO) and our growing communications team. Your primary role will be to ensure your executive’s planning is proactively coordinated in all aspects.
The successful candidate will be able to anticipate the needs of the CCO and proactively coordinate and schedule team members. This role will be filled by a strategic thinker who can manage the executive’s requirements with tact and ease.

This role is based in New York but Dow Jones is a global company and our executives travel frequently. While the hours for this role are US-based, the successful candidate will need to be flexible and available across time zones.
The role also includes key executive assistant high-level skills activities, including:
Managing the calendar and maximizing the executive’s time
Precise executive travel planning and attention to detail, including variable and
changing travel planning
Ensuring that proper preparation and materials are available for each day's
meetings and events
Arranging technical support including for corporate all-hands meetings
Team project management - tracking team priorities, project status, assigned
deliverables and action items - and organizing reports to roll up to the CCO
Maintaining confidential files, including competitive and strategic planning
information
Screening incoming telephone calls, mail and email
Reviewing and prioritizing incoming requests and drafting or sending responses
as necessary
Preparing and filing travel expenses
Managing relationships with vendors, tracking expenses and ensuring departmental bills are being paid
Occasional travel support for direct reports of the CCO may also be required
Experience Requirements:
Five or more years’ experience as an administrative assistant, supporting senior management and at least two years working at an executive level
Knowledgeable of large corporation inner workings
Excellent writing skills
Expert at using the typical office software including documents, slides and
spreadsheets
The ideal candidate will be an experienced user of Google Suite and have
Experience with Slack is a plus
