Job Description:

This is a support position responsible for managing multiple aspects for the Technology Department Leadership Team – a group of senior leaders and executives spearheading Dow Jones Technology.

Key Responsibilities/Accountabilities:

Responsibilities: phones, scheduling, correspondence, extensive travel planning, expenses, organizing work flow throughout the office, and ad hoc projects. Ensure that proper preparation and materials and files are available for each day's meetings and events. Schedule meetings at Dow Jones Princeton, New York and worldwide offices, and all offsite meetings that the executive attends such as meetings with customers, information providers, vendors and consultants. Plan and coordinate global travel, arrange flights, hotel and car service reservations. Understand the team's goals and objectives in order to effectively anticipate deliverables and follow up when necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs administrative duties required to support management staff and ongoing operations.

  • Setup meetings as required with the staff and clients; managing multiple calendars. Communicate schedule changes to staff as needed.

  • Schedule meetings at Dow Jones Princeton, New York and worldwide offices, and all offsite meetings that the executive attends such as meetings with customers, information providers, vendors and consultants.

  • Ensure that proper preparation and materials and files are available for each day's meetings and events.

  • Arrange extensive domestic and international travel, hotel, visas and cars.

  • Help coordinate and setup department-wide events.

  • Manage and file expenses for multiple managers.

  • Understand the team's goals and objectives in order to effectively anticipate deliverables and follow up when necessary.

  • Performs administrative duties required to support management staff and ongoing operations.

  • Assists IT Staff with administration of department intranet services, including managing IT content.

  • Distribute department-wide newsletters on weekly and as-needed basis using internal communications tool.

  • Performs other administrative activities as directed.

GENERAL KNOWLEDGE AND EXPERIENCE:

  • This position requires very strong organizational and communication skills.

  • Must be comfortable and confident to advise Executive leadership team.

  • Must be a team player with a proactive, positive can do attitude and a strong work ethic.

  • Ability to multi-task and work well under pressure and in a fast-paced environment.

  • Excellent attention to detail with strong organizational skills.

  • An energetic, enthusiastic, team player with the desire to grow both personally and professionally..

  • Knowledge of and ability to perform procedures and practices required in maintaining an effectively operating accounting system.

  • Ability to use or willingness to learn the current processes in place as they relate to Tech.

  • Ability to communicate well in writing.

  • General office and clerical skills, including data compilation and entry, filing, attention to detail and follow-through.
