Dow Jones GREFS seeks a Workplace and Facilities Manager to supervise and administer our offices in Europe, the Middle East, and Africa. The ideal candidate will have dedicated experience in facilities management, working with service vendors and building managers, and relative exposure with commercial real estate brokers. He or she will have experience working in a corporate setting, with the curiosity to understand a company with a broad variety of business units with differing facility requirements. He or she will have terrific interpersonal skills with an outgoing personality that engenders trust with our internal clients across Dow Jones. The Facilities Manager will look to improve our employee experience, while effectively managing costs and ensuring a safe and efficient operating environment.
The position is based in London and responsible for ensuring the smooth running of our two dozen offices across the EMEA region. The Workplace and Facilities Manager will establish and maintain relationships with existing building managers and third-party vendors, ensuring a high level of service for our offices. The role requires the manager to problem-solve and with work with employees to offer a comfortable workplace environment.
Core Job Responsibilities & Accountabilities:
Work as part of the global GREFS team, reporting to Director, Workplace Design, who is based in New York.
Supervise the office manager who runs the EMEA headquarters office in London.
Oversee and manage regular maintenance services for all sites (janitorial, repair); schedule preventative maintenance and repairs as needed.
Maintain service and vendor records and oversee vendors for contracted work.
Obtain and review price quotes for the procurement of parts, services, and labor for facilities projects.
Manage the performance and outcomes of client contacts and third-party vendor relationships and process invoices.
Aid with facilities issues as necessary for sister News Corp companies operating within EMEA.
Ensure compliance with all safety protocols as they pertain to country regulations. Set up compliant health and safety policies and practices as required.
Gather information for corporate insurance requirements. Work with office managers across EMEA to fulfill office needs.
Collaborate with the Legal and Finance departments to review and maintain lease agreements, ensuring compliance with all lease obligations.
Collaborate with senior managers to identify growth requirements and functional needs, as they pertain to the workspace, to ensure alignment with the strategic direction of the company.
Assist the Workplace Design Team with EMEA projects, including the creation of RFPs and contractor selection, gathering costs for the Manager of Project Planning, working with the Relocation Manager during staff and office moves, coordinating equipment and office furniture installations, and leading the reinstatement and handover of old offices, when applicable.
Provide budget input on occupancy costs and capital projects, as required.
Essential Qualifications & Skills:
3+ years of experience as a proven facilities leader with solid problem-solving skills and sound decision-making skills.
Experience with overseeing the management of facilities across multiple locations.
Experience working in a multinational corporate setting.
Ability to read architectural and engineering drawings.
Travel across the region, sometimes at short notice. Travel is a regular part of the role, comprising up to 20% of work hours.
Good interpersonal skills and an outgoing personality, which are important aids to success in the role, which has a large element of customer service.
Google business applications and Microsoft applications knowledge.
Proven ability to prioritize tasks in an efficient manner.
