Job Description:
Be part of the team responsible for producing first class live events and experiences for Dow Jones, The Wall Street Journal and Barron's Group. The Dow Jones events team produces well over 250 events a year (globally) of all shapes, sizes and formats, bringing our brands to life for our members, our clients and our colleagues. At the heart of it all, is live journalism, connecting our audiences with newsmakers and big ideas, via ambitious experiences.
You will work with the team to support all elements required to produce high quality member and client-focused events within the region. You will report to the Executive Director, Events & International Strategy.
Responsibilities:
Support of Dow Jones hosted events (Dow Jones, Wall Street Journal & Barron's Group); along with third-party trade marketing events that take place in the region, and within The News Building in London
Assistance with the production of creative assets: Initial brief, trafficking and proofing through the internal project management system
Guestlist management: Management of multiple guest lists and delegate registrations, alongside associated pre, post and onsite reporting
Small vendor management: Management of badging and photography requirements
Post-event analysis which includes reporting, feedback review, year-on-year metrics
Assisting sales staff with their needs for client meetings and events (including supporting on trade marketing events as above)
Administrative duties include, but are not limited to:
Shipping/tracking event materials
Inventory management
Coordinating and managing event schedules
Processing invoices/expenses in an accurate and timely manner
Manage travel booking & expense submissions for Event Directors
Finance duties include:
Purchase Order creation
Invoice processing
Vendor onboarding
P&L tracking
Manage the Global events calendar and work with the team on resource and volunteer requirements and schedules
Additional responsibilities may include assisting with other meeting schedules, event-related correspondence, travel planning, and onsite participation at events. Some evening work will be required.
Requirements
1-2 years of events and/or marketing experience
Impeccable administration and organization skills
Meticulous attention to detail with an inherent sense of care
A strong team player willing to lend help to ad-hoc tasks at short notice
A friendly, pleasant disposition with the ability to build relationships both internally and externally
Experience with Gmail and Google Suite (including Sheets, Slides and Docs)
